Effective from: 29 September 2026
Heyba trips are small-group surf journeys built around good places, good people and spending proper time somewhere.
These terms cover the practical side of travelling with us: how bookings work, what happens if plans change, and what we can expect from each other.
The trips are organised by Heyba Surf Discovery AB, Org.nr 5596034875, Snickarvägen 14 Vendelsö (“Heyba”, “we” or “us”).
By booking a trip with Heyba, you agree to these terms.
We keep our groups small and use an application rather than instant booking so we can put together trips that work well for everyone joining.
Applying is free and non-binding. An application does not guarantee a place and you do not owe us anything by applying.
Everyone travelling with Heyba must be at least 18 years old.
If we offer you a place, we will tell you how long the offer is available. Normally, you will have around 72 hours to confirm.
Your place is booked when:
A Booking Confirmation means that your place is booked. It does not necessarily mean that the trip has reached its minimum group size.
Once the trip has enough travellers and is confirmed to go ahead, we will send a Departure Confirmation.
Each trip will state its minimum number of travellers and its departure confirmation date. We aim to confirm our standard trips around 60 days before departure whenever possible.
Each Heyba trip is a package trip organised by us.
Exactly what is included will be clearly described before you book and confirmed in your booking information.
Depending on the trip, this may include:
International travel to and from the trip is not included unless we specifically say otherwise.
Surf equipment is also not included unless stated otherwise. Where equipment can be rented locally, you will normally rent and pay for it directly with the rental provider.
The trip description, your Booking Confirmation and any specific arrangements we have agreed with you form part of your agreement with Heyba.
The full trip price and what it includes will always be shown before you book.
Our normal payment schedule is:
10% when you book your place
90% no later than 60 days before departure (or within a week if booked later)
The booking payment is part of the total trip price. It is not a separate fee.
If you book less than 30 days before departure, the full amount will normally be due when you book.
Some trips may have a different payment schedule. This could happen, for example, if we need to book an included domestic flight earlier. If so, we will tell you clearly before you book.
If a payment is late, we will contact you and give you a reasonable opportunity to pay. If it remains unpaid, we may cancel your booking and apply the cancellation rules below.
After booking, the price will only be increased where Swedish package-travel law allows it, for example because of a change in certain transport costs, taxes or fees, or relevant exchange rates.
Any increase will reflect the actual change in those costs and will be explained to you. No increase will be made during the final 20 days before departure.
If the same costs decrease, you have a corresponding right to a price reduction.
If a permitted price increase is more than 8% of the total trip price, you may choose to end the agreement.
Plans change. You can cancel your place at any time before the trip starts.
Just let us know in writing at [email protected].
Our normal maximum cancellation fees are:
60 days or more before departure — 10%
30–59 days — 25%
15–29 days — 50%
7–14 days — 75%
Less than 7 days or no-show — 100%
These are maximum fees, not automatic penalties.
If we can fill your place or otherwise avoid costs because you are no longer travelling, we will take that into account and reduce the cancellation fee accordingly.
The idea is simple: the cancellation fee should reflect the actual impact of the cancellation on the trip, within the limits above.
If you ask, we will explain how your cancellation fee has been calculated.
Any refund due to you will be paid without unnecessary delay and no later than 14 days after cancellation.
Package trips do not have a statutory 14-day cooling-off period.
If you cannot travel, someone else may be able to take your place.
You can transfer your package trip to another person who meets the requirements for joining that trip.
Because Heyba groups are curated, the new traveller must meet the same objective participation requirements that applied to your booking.
Tell us as early as you can. Notice given at least seven days before departure will always be considered sufficiently early.
We may charge the actual and reasonable cost of making the change. For example, an included domestic flight might involve an airline change fee or a replacement ticket.
We will tell you what those costs are.
Every trip has a minimum group size. You will see that number, together with the latest date for confirming the departure, before you book.
If the minimum group is not reached by that date, we may cancel the trip.
We try to make this decision early. In particular, we know that you will normally arrange your own international travel.
For that reason, we recommend waiting for your Departure Confirmation before booking international flights that cannot be changed or refunded.
We may also have to cancel if unavoidable and extraordinary circumstances make it impossible to carry out the trip.
If Heyba cancels, you can choose an alternative trip if we offer one, or receive a full refund of everything you have paid us. Refunds will be made within 14 days.
Sometimes we may need to change something before departure. Small changes that do not significantly affect the trip may be made where necessary.
If we have to significantly change an important part of what you booked, we will tell you as soon as possible and explain your options. Depending on the change, you may be able to accept it, choose an alternative trip or cancel without a cancellation fee.
Your rights in these situations are always governed by applicable Swedish package-travel law.
Some things are bigger than both of us.
Serious natural disasters, war, major disease outbreaks or similar unavoidable and extraordinary circumstances can sometimes make travel impossible or materially affect a destination.
Where Swedish package-travel law gives you the right to cancel because circumstances at or near the destination significantly affect the trip or included transport to the destination, you will not pay a cancellation fee.
You will receive a refund of the package price within 14 days.
General uncertainty, personal concern or changing surf conditions do not on their own create this right.
Surf trips move with the conditions.
Swell, wind, tides, weather and local circumstances may change where we surf or what we do on a particular day.
We may therefore adjust surf spots, schedules, routes, activities and timing when it makes sense for the group.
We will always try to make the best call based on the conditions, safety and overall experience.
We cannot guarantee a particular wave, swell, surf spot or number of good surf days. Poor surf or weather does not by itself mean that the trip has not been delivered as agreed.
If a change goes beyond this kind of normal day-to-day adjustment and materially affects what you booked, your rights under Swedish package-travel law still apply.
A Heyba trip is something we do together. There are also a few things you need to take care of yourself.
You are responsible for:
You must also have appropriate personal travel insurance for the trip.
Your insurance should be suitable for the activities you plan to take part in, including surfing, and should normally cover medical treatment, accidents, emergency transport, trip cancellation or interruption, delays and your belongings.
Surfing and other outdoor activities involve risks that cannot be completely removed. Take part within your own ability and follow the guidance of the people responsible for the activity.
This does not remove Heyba’s legal responsibility for the package trip.
If there is something relevant to your safe participation, or if you need particular assistance during the trip, please tell us early enough for us to understand what may reasonably be possible.
The group is a big part of a Heyba trip.
We expect everyone to treat other travellers, local communities, our team and our partners with respect.
We may step in if someone’s behaviour creates a serious safety problem, involves harassment or threats, repeatedly disrupts the trip, causes serious damage, or has a significant negative effect on other people in the group.
Where it is reasonable, we will first try to resolve the situation.
In serious cases, we may exclude someone from an activity or require them to leave the trip.
If this happens because of the traveller’s own serious behaviour, they may be responsible for additional transport, accommodation or other reasonable costs caused by leaving the trip.
Any question about refunds or unused services will be handled fairly and in accordance with applicable law.
We work with local accommodation providers, guides, drivers, surf professionals and other partners we know and trust.
They may deliver parts of your trip, but Heyba remains responsible to you for the package trip as required by Swedish law.
That means we cannot simply pass responsibility for an included part of the trip to a local supplier.
If something included in your trip is not being provided as agreed, tell us as soon as you reasonably can. Giving us the chance to understand and fix a problem while the trip is happening is important.
You can contact us at:
During the trip: +46723990325
Email: [email protected]
Depending on the situation, we may correct the problem, arrange a reasonable alternative, provide a price reduction or pay compensation where required by law.
If you find yourself in difficulty during the trip, we will also provide appropriate assistance as required under package-travel law.
Our responsibility is governed by applicable Swedish law, EU rules and any relevant international conventions. These terms do not remove or restrict any responsibility or consumer right that cannot legally be excluded.
Something you choose to purchase independently outside your Heyba package is different. For example, if you rent a surfboard directly from a local rental company under your own separate agreement, that rental is between you and that company.
We use the personal information needed to manage your application, booking and trip in accordance with our Privacy Policy.
Where necessary to run the trip, we may share relevant information with partners such as accommodation providers, transport providers and guides.
We will also contact you with practical information about your application, booking and trip.
Marketing communication is handled separately.
Photos and videos will naturally be taken on some trips. If Heyba wants to use identifiable content featuring you in our own marketing, website or social media, we will handle that separately. You can say no without affecting your ability to travel with us.
